The non-profit association “Kingdom Embassy Int.” attaches great importance to the protection of the personal data of members and visitors and ensures that their privacy is respected.

In this privacy statement we want to provide clear and transparent information about what data we collect and how we handle personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care.

The non-profit association “Kingdom Embassy Int.” comply in all cases with applicable laws and regulations, including the General Data Protection Regulation.

1 Our responsibility

This means that we in any case:

▪ Process your personal data in accordance with the purpose for which it was provided; these purposes and types of personal data are described in this privacy statement;

▪ limit processing of your personal data to only those data that are minimally necessary for the purposes for which they are processed;

▪ ask for your explicit consent if we need it for the processing of your personal data;

▪ have taken appropriate technical and organizational measures to ensure the security of your personal data;

▪ not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;

▪ are aware of your rights regarding your personal data, want to point this out to you and respect them.

As “Kingdom Embassy Int. vzw” we are responsible for the processing of your personal data.

1 Why do we process personal data

Your personal data will be processed by “Kingdom Embassy Int. vzw” processed for the following purposes and legal grounds:

▪ to participate in the activities of “Kingdom Embassy Int. non-profit organization” (execution agreement)

▪ sending newsletters and invitations; (consent of data subject)

▪ communicating developments specific to the non-profit organization;

For the above objectives, we may request and process the following personal data from you:

▪ personal identity data: name, first name, address, telephone number, e-mail

▪ personal characteristics: gender, date of birth, place of birth, nationality

We only use the collected data for the purposes for which we obtained the data.

1 Provision to third parties

We may provide the information you provide to us to third parties if this is necessary for the implementation of the purposes described above.

For example, we use a third party for:

▪ taking care of the internet environment (web hosting);

▪ arranging and distributing newsletters and invitations (MailChimp); (La Posta) WhatsApp; Facebook.

▪ insurance: volunteer insurance.

We never pass on personal data to other parties with whom we have not concluded a processing agreement. We naturally make the necessary agreements with these parties (processors) to ensure the security of your personal data.

Furthermore, we will not pass on the information you provide to third parties (provide it to other parties), unless this is legally required and permitted. An example of this is that the police, in the context of an investigation, requests personal data from us. In such a case, we must cooperate and are therefore obliged to provide this information.

We can also share personal data with third parties if you give us (written) permission to do so. You have the right to withdraw this consent at any time, without affecting the lawfulness of the processing before its withdrawal. We do not provide personal data to parties located outside the EU.

1 Minors

We only process personal data of minors (persons under the age of 16) if written permission has been given by the parent or legal representative.

1 Retention period

“Kingdom Embassy Int. vzw” does not store personal data longer than necessary for the purpose for which it was provided or is required by law.

1 Data security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing, for example we have taken the following measures:

▪ All persons working on behalf of “Kingdom Embassy Int. vzw” may take note of your data, are obliged to keep it confidential.

▪ We have a username and password policy on all our systems.

▪ We make backups of personal data in order to be able to restore them in the event of physical or technical incidents.

▪ Our employees have been informed about the importance of protecting personal data.

1 Your rights regarding your data

You have the right to inspect and correct or delete the personal data we have received from you. At the top of this privacy statement you can find information on how to contact us. You can also object to the processing of your personal data (or part thereof) by us or by one of our processors. You also have the right to have us transfer the data you provide to yourself or directly to another party on your behalf. We may ask you to identify yourself before we can respond to the aforementioned requests.

1 Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. You always have the right to file a complaint with the Privacy Commission, which is the supervisory authority in the field of privacy protection.

“Kingdom Embassy Int. vzw” can change its privacy statement. We will announce this change on our website.
